One of the most frustrating things we encounter is when a prospective client calls and asks, “Can you just give me an idea of the cost?” with little to no context about the event. we understand the intention. They’re trying to get a quick sense of price before investing too much time. But here’s the problem: without meaningful information, any number we throw out is likely to be misleading, inaccurate, or both

Quoting a small or large-scale event is
nothing like quoting a hotel room or a car rental. It’s not a one size fits all situation. The cost of using a full service company like Groovelabs LLC depends entirely on what features and needs will be required to create your show. That includes set up and breakdown logistics, type of artists or performances and how complex the build is, how many attendees or vendors are involved, and whether you require

sound, staging, lighting support, power, and of course labor. Every one of these elements directly affects the bottom line.

When a prospect asks for “just a ballpark,” what they are often seeking is clarity or reassurance of their own budgeting, which is understandable. But ironically, those requests tends to help no one and leads the the cost discussion down a rabbit hole, because we’re either forced to guesstimate or even  send back a broad estimate so padded that it becomes useless and creates a no follow through option for either party because the costs don’t relate to actual needs.

The truth is, we want to help you get the most accurate number possible. But a quote should reflect the real shape of the event, not a hypothetical version of it. If you can provide even a rough scope, Like stage sizes for performers, estimated footprint of crowd for proper PA size, and a general sense of look and feel for lighting, video or effects to activate the space, we can begin a real conversation. Without that, we’re just spinning wheels. Having said that, If this is your first event a conversation goes a long way to pin point your needs.

Long winded explanation but a meaningful quote is never just about price. It is about understanding production realities, outlining infrastructure, and aligning expectations. That is the foundation for a successful planning process and ultimately a smoother experience for everyone involved.
